DUTIES:
The Sioux Falls VA Health Care System is currently recruiting for two Full-time , Permanent, Medical Support Assistants . These positions will be located in the Surgical / Specialty Care Service Line. These positions will be on the 4th Floor Specialty Care Clinic area. The incumbent will be trained in audiology, optometry, and specialty care clinic areas so the individual can cover those areas as needed. As a Medical Support Assistant , you are responsible for the following duties to include, but not limited to:

Acts as major clerical representative in Surgery / Specialty Care clinical area to include Audiology and Optometry.

Provides support to the professional staff (audiologists, Optometrist and Surgeons).

Instructs staff, consultants, and public as to the location and functional range of services and departments within the Medical Center.

Is responsible for requesting any previous records patient may have, either from another VA facility or private facility which physician may request.

Triages incoming calls and refers calls to appropriate professional personnel, if indicated, relaying messages to personnel, or dealing with issues independently.

Acts as patientÂ's representative and receptionist to visiting public and provides information as requested.

Determines which information can be released under the present Privacy Act.

Processes all incoming mail and makes proper distribution.

Performs data management functions. Data sources may include patient observations and surveys, workload reports, quality assurance measures and reports. Using extracted data, the incumbent creates graphics for reports and presentations using programs such as Excel and PowerPoint.

Schedules appointments and procedures assuring compliance with established scheduling policies and procedures based on VHA directive for outpatient scheduling at the parent facility and CBOCs. •Consult management and procedures •Priority scheduling •Electronic wait list-appropriate maintenance •Patient cancellation/no show policy •Rural Health spreadsheet

Hearing aid and ear mold certification and tracking for rural veterans.

Consult and encounter completion for veterans.

Responsible for consult tracking - closing out consults after patient has been seen by the provider.

Independently corrects minor errors in the computer as they arise and updates all information as they determine necessary.

Verify patientÂ's demographic information, next of kin, and insurance information in computer.

Responsible for protecting all printed and electronic files containing sensitive data from unauthorized release or from loss, alteration or unauthorized deletion which must be protected under the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VA statutes and policy.

Resolve provider clinic scheduling errors.

Order and maintain adequate supplies which support the overall functioning of the Specialty Care clinic Service ( Audiology and Optometry).

Arrange for escort of patients as requested.

Adjust provider clinic schedules based on planned and unplanned leave, ensuring performance measure wait times are a key consideration when canceling and rescheduling clinics.

Responsible for contacting all patients referred by consult to Audiology clinics to ensure patient has desired appointment date and time.

Work Schedule: The tour of duty for this position is Monday-Friday, Daytime hours between 7:30am-4:30pm. Nights, weekends, and holidays may be required.

Relocation Expenses: Relocation expenses are not authorized for this position.

QUALIFICATIONS REQUIRED:
Basic Requirements:
Citizen of the United States.

Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;

OR

Education. One year above high school

OR

Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.

Must be proficient in spoken and written English.

Grade Determinations:
GS-3 : Experience or Education. None beyond the basic requirements.

GS-4 : Experience or Education. One year of experience in clerical or office work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position or two years of education above high school.

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs

below:
1. Ability to meet, communicate and interact with individuals from varying backgrounds and other health care team members in a courteous and helpful manner in order to complete job assignments.

2. Ability to use various types of office automation equipment and software.

3. Ability to set up, organize, and maintain record systems.

GS-5 : Experience or Education. One year of experience equivalent to the next lower grade level or 4 years of education above high school.

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:

1. Ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and/or reports.

2. Knowledge of basic medical terminology.

3. Ability to make appointments in a clinical setting.

4. Ability to work independently in the accomplishment of a wide variety of duties, including setting priorities and coordinating work.

5. Ability to communicate effectively and professionally with employees at varying grade levels.

6. Ability to identify customerÂ's concerns, perform the tasks required to resolve the issue accurately and timely, and follow-up as necessary to ensure a satisfactory resolution.

PHYSICAL REQUIREMENTS: Work is primarily sedentary involving periods of moderate to heavy computer usage. Daily intermittent walking, standing, bending, stooping, reaching, and carrying of lightweight items required. Rigid deadlines and need for high degree of accuracy periodically becomes stressful.
