The role
The Event Coordinator role is a new position developed to support a new Community Events function at MLC. Responsible for assisting with the delivery of events whilst providing support to the Events and PA Manager to support the Parents Association, Alumnae, and associated volunteers in community engagement.
We are searching for an enthusiastic event coordinator with a "can-do" attitude to assist our College in hosting events that enhance our engage our community and enhance our parent, student, and alumnae experience.
You are an enthusiastic, proactive individual with a high-level of attention to detail professional with the ability to work autonomously and as part of a small team. The event coordinator will support the Event and PA manager with researching and securing venues, planning and managing our events' calendar, attaining quotes and agreements with vendors, assisting with event communication and administration, monitoring timeframe and budgets, and delivering on event brief objectives.
The ideal candidate for this role should demonstrate exceptional organisational abilities, superb interpersonal skills, multi-tasking skills, and excellent time management. You will have the desire to go above and beyond to ensure the success of events and to increasing the engagement and connection of MLC parents and alumnae.
Some of your primary duties and responsibilities will include the following:
- Act as the key point of contact for logistical elements of events including campus access, all build/bump in and out queries, including room/space allocations and space confirmations, power requirements, communications systems, and load in and load out schedules.
- Ensure adequate resource management across all events and act as key point of contact for all equipment loaning and effectively managing the events team storage facilities and assets.
- Foster effective working relationships with key internal stakeholders, external stakeholders, and staff across the organisation to proactively identify and develop events and interdepartmental collaboration opportunities.
- Support the ongoing management of regulatory and compliance obligations, including document tracking, monitoring, assurance auditing, analysis, and reporting.

About You
- To succeed in this position, you will possess experience in events or a relevant combination of event skills knowledge and/or training.
- Essential to your success will be your proven track record in event logistics and operations whilst ensuring resource management and exceptional support for our parent and alumnae volunteers.
- Your ability to multi-task across a range of events happening on a daily, weekly and monthly basis will allow you to be an expert in all areas of event operations at MLC.
- A current Working with Children Check and Police Check
