The Business Process Analyst's main responsibility is to know the performance of all teams and identify the root cause of non-performing key performance indicators. Ensure that processes are always aligned with the company's targets and strategies.
A. Business Process Analysis
- Conduct process mapping to outline individual steps, identify task owners, detail expected timelines, and help teams produce ideas to increase efficiency.
- Monitor process performance and improvements in key metrics.
- Collect and analyze process data to initiate, develop and recommend business practices, procedures, and improvement opportunities that focus in increased productivity, efficiency, and reduced cost.
- Work closely with the operations team to collect data and assess the current situation.
- Review the performance of the teams and identify the root cause of non-performing key performance indicators.
- Analyze and come up with the best suggestion for the company's gap and corporate status by Org Chart efficiency, JD, correct manpower support, process efficiency, workflow, and tool management.
- Review process documentation to ensure processes are cost-efficient, rational, risk-mitigating, and aligned to the company's requirements.
- Conduct gap analysis of the current business processes and tools or system in use vs the business goals and direction gathered from different stakeholders. Highlight what's working and identify what can be improved both in the process and in the products or services we provide.
- Collaborate with the heads and assist in suggesting solutions for improvement.
- Initiate and implement actions to address performance gaps together with the immediate manager.
B. Data & Reporting
- Gather and analyze data, conduct data analysis; define strategies to capture data as required.
- Translates complex data into information that can be easily understood by the stakeholders to support business decisions.
- Develop periodical performance monitoring dashboards to identify if we achieve business goals.
- Ensure on-time sending of the latest KPI dashboard update to Departments/Teams.
- Give feedback to the immediate manager if teams are on track or need to realign to their performance evaluation, workload coordination, and performance management.
- Write detailed reports, present findings, and give business suggestions to the immediate manager.
- Report regularly to the Corporate Strategy Manager the performance dashboard for corporate strategic movement status transparency.
- Manage tools used for process management such as JIRA, Git, & others to ensure the accurate and timely gathering of data.
- Ensure users utilize process management tools and assist in configuration and report creation.
C. Values
- Ensure that the team works in accordance with the approved company operating policies, procedures, practices, and methods.
D. Ad Hoc
- Successfully accomplish ad hoc tasks and responsibilities assigned by the immediate manager within the agreed SLA.
- Perform other tasks as assigned by management.
JOB QUALIFICATIONS:
- Preferably with 2+ years of experience in process/continuous improvement experience
- With Six Sigma Yellow Belt Certification of higher
- Strong process automation experience
- Strong analytical skills and proven ability to think strategically
- Preferably with 2+ years of experience in identifying and implementing process changes to improve efficiency or quality
- Excellent verbal and written communication skills with all levels of internal stakeholders and ability to influence others toward a common goal
- Active listening skills and ability to manage upwards and negotiate between conflicting stakeholders
- Ability to both understand a business process from a workflow diagram and to conceptualize it as an automated solution
- Experience in designing or implementing a framework of continuous improvement
- Experience in hands-on implementation of continuous improvement programs and Lean solutions
- With experience in Data Presentation tools like Tableau, PowerBI, DataStudio, etc.
- Preferably with basic knowledge with JIRA, Git and other process management tools
